In short
- One online form per child. Filling in the form is not a place.
- Places are first come, first served. Submitting the form does not hold or reserve a place.
- The place is only secured once you pay the term fee.
- There is no waiting list. Full clubs are closed on the form.
- Your child's details are used to run the club and keep them safe, and are seen only by the PTA and their own club leader.
1. Registration and how places are given
- Registration is now closed for this term and will reopen next term. The PTA will announce the next opening date, and the homepage will show when registration is open. When open, use one form per child. Please don't submit twice for the same child.
- Filling in the form is not a place, and submitting it does not hold a place. Places are first come, first served and are only secured once the club fee is paid.
- Until you pay, a place in the club can go to another child.
- There is no waiting list. When a club is full it is closed on the form and can't be chosen anymore. The form shows how many places are left in each club.
- Initially, up to two clubs can be chosen per child. The PTA may allow additional clubs while registration is open and places remain; the limit does not lift automatically after two days. A child can attend only one club per day.
- Clubs can fill quickly, so applying early matters. The PTA cannot hold a place outside the system or add or move a child to a club that is full.
- If a mistake is found — a duplicate form, a club set up with the wrong capacity — the PTA corrects it and tells the families affected.
2. Securing your child's place
- Filling in the form does not hold or reserve a place. A place only becomes your child's once payment goes through, so please pay straight after submitting.
- You can see your child's places at any time on the check-my-places page. Enter the email address you registered with and we'll send you a secure sign-in link — no password needed. Only someone with access to that inbox can see your child's record.
- A place is secured once the term fee is paid. An unpaid place is not secure.
- If, despite paying, your child can't take a place, tell the PTA straight away so it can go to another child rather than sitting empty.
- If a club fills up before your payment goes through, you won't be charged for it and can choose another club with places left.
3. Payment, refunds and cancellations
- The price shown on a club card is for that club for the whole term, and the number of weeks the term runs is shown with the term.
- Payment is by card online through SumUp, straight after you register — we've moved from in-person payment collection to online payment, so your child's place is secured there and then. The PTA never sees or stores your card number.
- Payment is online by card only — we cannot take cash or any other payment method. If paying online is a difficulty for your family, talk to the PTA before the deadline.
- Keep your payment confirmation — the school's accounts may ask for it at the end of the year.
4. Attendance, collection and supervision
- Clubs run after class on the day shown on the club card. Junior clubs finish at 2.15pm and senior clubs finish at 3.15pm. If you need to collect early or your child must leave part-way through, tell the leader in advance.
- For autumn 2026, clubs run for eight sessions from 5 October according to their weekday: Monday to 30 November, Tuesday to 8 December, Wednesday to 2 December and Thursday to 10 December. There are no clubs during mid-term, 26–30 October, or on the parent-teacher meeting days, Tuesday 17 and Thursday 19 November.
- A child is only allowed to walk home alone if you said so on the form. Otherwise they must be collected by an adult you have named — the school may ask who is collecting.
- Clubs are run by vetted adults. If a session has to be cancelled at short notice, you'll be told as early as possible and an extra session is added after the end of term instead — sessions are not refunded.
- Please don't send a child to club who is unwell or who the school has asked to be excluded. The leader will contact you if that happens.
- Clubs take place in the school buildings. Children stay in the club room and the agreed area, and the leader is responsible for them from the moment they are handed over until they are collected or walk home.
5. Medical information and emergency treatment
- You must tell us about allergies, additional needs, asthma, inhalers, EpiPens, diabetes, seizures, medication, hearing or vision difficulties, and anything else a leader should know. That's what the medical notes box is for — leave it blank only if there is genuinely nothing to say.
- Ticking the emergency authorisation on the form means that if your child needs urgent care and you cannot be reached, the leader may seek emergency medical treatment for them.
- The form asks for your main contact number and, if you can, a separate emergency contact name and number — someone else we can ring if we can't reach you. Email us straight away if either number changes during the term.
- Medical notes are seen only by the PTA and by the leader of your child's own club — never by other parents.
- Leaders do not give any medication.
6. Behaviour
- The school's code of behaviour applies to afterschool clubs just as it does to the school day.
- Leaders deal with behaviour the school's way: a reminder, a short break from the activity, then a word with you at collection. No decision about a child being asked to leave a club will be made without consultation with the clubs committee and the school.
- Where behaviour puts children or the leader at risk and can't be managed, the PTA and the school may decide the child can't continue in the club. That decision is always taken by the PTA and school, not by the leader alone.
7. Safeguarding and Garda vetting
- Every adult who works directly with children in the clubs is Garda vetted through the school. The PTA records each vetting check and keeps it in date.
- Clubs follow the school's child protection procedures, and the school's safeguarding policy always takes priority over anything on this page.
- A leader never works alone with a child out of sight of others.
- Leaders use their own login and can only see the children in their own clubs.
- If you have a concern about a child's safety or welfare, raise it with the school office and ask for the Designated Liaison Person. You don't need a reason or proof to raise a concern, and you won't be asked to deal with it yourself.
- Please don't photograph or film other people's children at club, or post about them online.
8. Your personal data (privacy notice)
What we collect
- What you type into the form: your full name, email, main contact number and an optional emergency contact name and number; your child's first name, surname and class; whether they may walk home alone; your emergency treatment authorisation; any medical information you add; the clubs you choose; and whether your child has one-to-one SNA support (shared with the PTA organisers so they can agree arrangements with you).
- What the club records: your child's attendance at each session, with any note the leader makes.
- What payment records: which club, the amount, the date and whether it is paid or overdue. Your card details themselves go to SumUp, not to us.
Why we need it and what we're entitled to do with it
- To run the clubs: to allocate places, tell you the result, take payment and keep our accounts in order.
- To keep children safe: knowing who may collect your child, who to ring in an emergency, and what medical information a leader needs.
- The emergency treatment authorisation records your explicit consent. Medical information is collected to keep your child safe while attending a club.
- We do not pass your details to any outside business for marketing, and we never sell them.
Who can see it
- PTA members with an admin login, for the clubs term they are managing.
- The leader of your child's club — they see only the children in their own club.
- SumUp, our card-payment provider, for the payment itself, and our hosting provider which stores the records for us.
- The school's principal and board where the school requires the record for safeguarding, health and safety or accounting.
How long we keep it
- Registration, allocation and payment records for the current term and school year, then deleted.
- Attendance records for the term.
- Anything the school must keep for child protection or accounting is kept by the school under its own retention policy, not by the PTA.
Your rights
- You can ask to see the information we hold about you and your child, have anything wrong corrected, and ask for it to be deleted where we are not obliged to keep it.
- You can withdraw the emergency treatment authorisation, but tell the PTA — a club can't run safely without it, so your child may not be able to continue.
- To do any of this, email the PTA at skerrieseducatetogetherclubs@gmail.com.
- If you're unhappy with how we've handled your information you can complain to the Data Protection Commission at dataprotection.ie.
9. This website
- The site does only what's on the page: it records your form, holds your child's places, shows them back to you, records attendance and takes payment. It does not track you or show you advertising.
- It is for the school's own club registration. Please don't use it for anything else.
- If anything on the site looks wrong, or you think information isn't being handled properly, tell the PTA — that's genuinely useful to us.
10. Who to contact
For anything about the clubs — a place, a payment, a change of number, a concern — contact the PTA:
- Email: skerrieseducatetogetherclubs@gmail.com
11. Which version applies
- The version published here when you registered is the one that applies to that term.
- If the PTA has to change these terms for a new term, the new version is published here and the date below is updated. We'd only change them mid-term to protect children or to follow the law, and we'd tell you first.
- Last updated: 22 October 2026.
